Viewing mail

 

Select Mail from the View Menu or press the [Mail] button.

 

Use the light blue filter field on the left (above the mail items) to search for particular mail items. Alternatively, filter the mail using the drop-down menu above the filter field. 

  • Unmatched mail items are shown with a yellow background.
  • RSD (referral, status and discharge) mail is in purple text.
  • Labs are in blue text. Labs with abnormal flags are in red.
  • Scanned letters are in green text.
  • NIR messages are in purple

Highlight any mail item in this list to view the correspondence in the centre panel. Above the letter certain summary information is shown.

  • Subject” lists the sender’s description of the patient’s name and details.
  • Matched to” is the patient’s details as in our system. You will need to confirm the identity of the patient mentioned in the report. Check that the patient mentioned at the top of the screen as “Matched to” is the same patient as mentioned within the report. If this patient is incorrect (or blank), click on Match or Unmatch as appropriate from the Actions list (see 7 and 8 below for further instructions).
  • To” lists the sender’s description of the practitioner’s name.
  • Assigned to” is the practitioner in our system.

Enter any comments you wish to make about the result in the field at the top right of the screen before you file the result. These will appear in the Clinical Notes.

 

Actions

A different action bar may appear on the left of the page, depending if the mail item has been matched to a patient (see below left) or not (see below right).

If the mail has not been assigned to a patient:

  • Press [Match] in the Actions menu to search for and select the correct patient.
  • Press [Reassign] to assign this piece of mail to a different practitioner.
  • If this patient does not belong to this practice, select [File without ID] from the Actions menu.

If the mail item has been assigned: 

  • Press [Unmatch] to remove the patient match
  • Use the Tasks menu at right to create any follow up job needed (see the section on Task Management).
  • Press [File (F10)] in the Actions menu to file the mail item into the patients notes. This marks the mail as viewed and records any comments added. The mail item is removed from the list on the left hand side.
